Administrative Assistant

Cinesite’s London Studio has an exciting opportunity for an Administrative Assistant to join the Finance team who is used to supporting a team in all administrative aspects of an organisations financial processes.

Responsibilities:
• Maintain Purchase Ledger – Liaising with suppliers, processing invoices, payment runs, employee expenses, credit cards and petty cash
• Process & maintain payroll administration
• Post bank transactions to SUN and reconcile bank accounts
• Work Orders (Time allocation) – Management of Work Orders to ensure all Artists have correctly entered their hours into the record keeping system
• Assist with month-end tasks and balance sheet reconciliations
• Scheduling, arranging meetings, sending reminders, coordinating between multiple time zones and divisions, for company directors and managers, as and when required
• Arranging company travel, booking flights, accommodation, writing schedules and compiling relevant travel documentation for all travelers
• Keeping travel calendars up to date and informing relevant people as appropriate
• Coordinate website translation and assist with updating the company website
• Deal with general queries, enquiries and ad-hoc projects as required.

Qualifications and Experience:
• Excellent written English
• Great communication and interpersonal skills
• Ability to multi-task and strong organizational skills
• Discretion and confidentiality
• Self-motivated, with a team-player attitude
• Experience with using Microsoft Excel & word
• Business or accounting degree preferable
• Experience of working under pressure to meet tight deadlines.
• Common sense, dependability, and attention to detail are required

Experience of the following would be desirable:
• Knowledge of double entry book-keeping
• Working with Sun Systems accounts
• Working with Sage 50 payroll
• Working in/with the French language
• Google Docs & Google Calendar
